Automating Vendor GST Verification in Accounts Payable
Reduce invoice fraud and input tax credit mismatches by verifying vendor GSTINs automatically inside your AP workflow.
Vendor GST verification for accounts payable means adding a fourth check — the supplier’s live GSTIN status and filing record — to the traditional three-way match, so a payment never goes out against an invoice that cannot legally back an input tax credit claim. It matters because ITC now depends on what the supplier actually files, not just what the invoice says.
The three-way match, plus a fourth GSTIN check
Most accounts payable teams already run a three-way match before releasing payment: the purchase order, the goods receipt note, and the supplier’s invoice must agree on quantity, price and terms. That match answers “did we receive what we ordered, at the price we agreed” — but it says nothing about whether the supplier issuing the invoice is a valid, currently registered GST taxpayer.
Adding a fourth check — a live GSTIN status lookup against the supplier on the invoice — closes that gap.
A call to GET https://gstinapi.com/api/get-taxpayer-info/{gstin} with an
X-API-Key header returns the supplier’s current status, legal name, and GSTR filing history in
one response, which is enough to gate the invoice before it moves to payment.
Blocking payment on a cancelled supplier
A GSTIN that shows Cancelled means the registration has been terminated — the supplier is no longer legally entitled to charge GST on that number. An invoice raised on a cancelled GSTIN, or one that was cancelled after the invoice date but before payment, is not a valid tax invoice for input tax credit purposes.
| Supplier status | AP action |
|---|---|
| Active | Proceed with standard three-way match and release payment on schedule. |
| Suspended | Hold the invoice; confirm with the supplier and re-check status before releasing payment. |
| Cancelled | Block payment on the GST-inclusive amount; escalate to procurement for a valid alternative GSTIN or credit note. |
| Not found | Reject the invoice outright and route to fraud review. |
Blocking on Cancelled is the single highest-leverage rule in a GST-aware AP process, because it is the one status where the tax component of the invoice is provably not creditable — there is no ambiguity to resolve later.
The input tax credit exposure when a supplier does not file
A more subtle risk sits with suppliers who remain Active but simply stop filing on time, or at all. Under Section 16(2)(c) of the CGST Act, a buyer can only claim input tax credit if the supplier has actually paid the tax to government — and in practice that condition is now enforced through the supplier’s GSTR-1/IFF filings flowing into the buyer’s GSTR-2B. If the supplier never files, the invoice simply never shows up as eligible credit, regardless of how correct the invoice itself looks.
This is why filing regularity, not just current status, belongs in an AP risk view: a supplier who is Active but three periods behind on GSTR-3B is a live ITC risk, even though a simple status check would show nothing wrong.
Why IMS and GSTR-2B changed the stakes
The Invoice Management System sits between a supplier’s GSTR-1 filing and the buyer’s GSTR-2B: every invoice the supplier reports appears on the buyer’s IMS dashboard, and only records the buyer accepts (or is deemed to accept) flow into GSTR-2B as eligible credit. That mechanism, now on statutory footing, is the practical reason AP teams need to watch supplier compliance continuously rather than at invoice time only — a supplier’s filing behaviour after the invoice date can still change whether that invoice ends up counted.
It also means the ITC conversation has moved from “did we book the invoice correctly” to “did our supplier’s GSTR-1 and GSTR-3B behaviour actually support the credit we claimed” — a question a GSTIN verification API answers directly through its filing-history fields, without AP staff needing to cross-reference the GST portal by hand.
Running a monthly sweep over the vendor master
Point checks at invoice time catch the obvious cases, but the more common failure mode is a supplier who was fine at onboarding and quietly deteriorates months later — a suspension, a cancellation, or a run of missed filing periods. A monthly sweep addresses this directly:
// Pseudocode — run monthly, a few days after GSTR-2B generation on the 14th
for vendor in vendor_master:
response = get_taxpayer_info(vendor.gstin)
if response.status != "Active":
flag_for_ap_review(vendor, reason=response.status)
elif response.filing_delay_periods > threshold:
flag_for_ap_review(vendor, reason="filing gap")
Timing the sweep just after the 14th, when the draft GSTR-2B for the prior period is generated, lets the flagged list line up with the same period AP is reconciling — so a supplier flagged for a filing gap matches what your own GSTR-2B is already showing missing. Where this fits in your AP stack
Whether AP runs in an ERP, a standalone invoicing tool, or a spreadsheet-driven process, the GSTIN check belongs as a gate before the payment approval step — not as a separate compliance report reviewed after the fact. Most integrations call the verification endpoint at invoice entry (to catch a cancelled or non-existent GSTIN immediately) and again in the monthly sweep (to catch drift).
