GST Verification API vs Manual Checks: Which Should You Use?
A side-by-side comparison of verifying GSTINs by hand on the GST portal versus automating it with an API.
Both approaches answer the same question — is this GSTIN real and active — but they solve it very differently. Manual verification means a person searching the GST portal by hand. API verification means your own software makes the same check automatically through a GST verification API. Which one makes sense depends almost entirely on volume and whether the check needs to happen inside an automated workflow.
Side-by-side comparison
| Aspect | Manual (GST portal) | API |
|---|---|---|
| Time per verification | 1–3 minutes (portal search + captcha + reading results) | Under 1 second |
| Scales to hundreds of checks | No — becomes a full-time task | Yes — same call, run in a loop or batch |
| Fits into an automated flow | No — requires a person at a keyboard | Yes — called from signup, checkout, or invoicing code |
| Data returned | Whatever is shown on the portal page | Structured JSON — status, address, filing history, e-invoicing status |
| Error-prone copy-paste | Yes — data is read and re-typed by hand | No — data flows directly into your system |
| Cost | Free, but costs staff time at scale | ₹0.40–₹0.50 per verification |
| Auditable trail | Only if someone remembers to log it | Every call and response can be logged automatically |
When manual verification is genuinely fine
If you verify a GSTIN once in a while — checking a single new supplier before signing a one-off contract, for example — the GST portal’s manual search costs nothing and takes a couple of minutes. There is no reason to integrate an API for that.
When manual verification breaks down
The moment GSTIN verification becomes a repeatable step — every new vendor, every new customer, every invoice — manual lookup turns into a bottleneck. It also introduces a failure mode that is easy to miss: someone forgets to check, or checks and forgets to log it, and there is no record the check ever happened.
What an API actually buys you
- Speed at scale. The same check that takes minutes by hand runs in under a second and can be triggered automatically.
- Structured data, not a screenshot. A JSON response flows directly into your database instead of being re-typed by a person.
- An audit trail for free. Every API call can be logged, so you can prove a vendor was verified on a specific date if it is ever questioned.
- Consistency. The check runs the same way every time — no one skips a step because they are in a hurry.
A practical rule of thumb
If you are verifying more than a handful of GSTINs a month, or the check needs to happen as part of an automated flow (signup, checkout, invoicing), an API pays for itself quickly — verification starts at ₹0.50 per request, well under the cost of a few minutes of staff time. See current pricing or read how to verify a GST number using the API to get started.
